Job Description:

You will be providing administration support for smooth functioning of Administration and Management Office on a daily basis in addition to general responsibilities in assisting the VP Operations, VP Engineering and Head of Government Relations while handling confidential and sensitive issues.

Job Responsibilities:

  • Provide business documentation support which includes report writing, drafting official memorandums, creating presentations, preparation of spreadsheets and distribution of any required materials to the department.
  • Manage, coordinate and maintain calendar of appointments, travel arrangements, records of communication (documents, faxes, mail, etc.) to meet the requirements of the Administration and Management – QAS department. Record, filter, disseminate and communicate all incoming and outgoing matters to the VP Operations and VP Engineering.
  • Follow up or obtain feedback, on behalf of VP Operations and VP Engineering, for matters or correspondences which require follow up actions by appropriate internal or external parties.
  • Prepare and distribute official correspondence to section heads, departments and all other concerned stakeholders on behalf of VP Operations and VP Engineering for the smooth functioning of the organization.
  • Respond to complaints and requests to provide information or assistance. Interpret and explain procedures and policies in order to solve any internal inquiries of the management or/and staff.
  • Arrange required office equipment for new and existing staff. Ensure that all office equipment such as fax machines, photocopiers, scanners, telephones are in working order.

Job Requirements:

  • Sound knowledge of MS Office.
  • Excellent written and spoken communication skills in English.
  • Proven experience of managing effective working relationships.
  • Client focused and business aware, with proven interaction to senior management level.
  • Self-motivated, highly organized, and problem-solving abilities.
  • Strong project management, planning and organisational skills.
  • Self-starter, having the ability to work independently with minimal instructions.

Qualification & Experience:

  • An ideal candidate will have a minimum of relevant Vocational, Tertiary or Trade qualification and 4 years of relevant work experience.
  • Database administration experience.
