Job Description:

The Executive Assistant will provide direct administrative and project management support to the Chief Growth Officer, Chief of Staff, and one VP of Sales. Broad responsibilities include creating and preparing agendas, presentations, documents, spreadsheets, logs/databases, and schedules; tracking action items; managing calendars; making travel arrangements; planning and executing external meetings; managing expenses; preparing external presentations; and, conducting research. The ideal candidate will be comfortable with developing options, proposing alternate solutions and willingness to provide advice and recommendations to leadership. Minimal travel may be required.

Job Responsibilities:

  • Creates spreadsheets and charts, PowerPoint presentations, visual representations and diagrams, using both data and graphics, for internal & external distribution
  • Coordinate business travel in accordance with travel preferences and corporate travel/expense guidelines using Cigna’s booking tool. Requires 100% accuracy of travel itineraries and reservations
  • Writes reports on the status of major projects, after meeting action item reports, keeping this team informed at all times on the status of assignments, projects and general operations
  • Maintain calendars in a timely and logical manner; proactively manage coordination of work to avoid conflicts
  • Facilitate planning for and execution of off-site meetings, including communications, space selection, logistics, travel, hospitality and technology
  • Accurate submission of expense reports for all travel & expenses in a timely manner
  • Planning and scheduling meetings, teleconferences, prioritizing functions and appointments, ensuring that meetings, deadlines, presentations and logistics are handled seamlessly
  • Support to help manage organizational account-abilities, including headcount reports, org charts, various aspects of interdepartmental communication
  • Beyond basic administrative aspects, act as an important part of the business through projects, research, collecting and analyzing information, and initiating communications

Job Requirements:

  • Significant capacity to deal with ambiguity, and operate in the face of changing priorities
  • Must have amazing written communications and interpersonal skills and the ability to interact positively with all levels within the organization
  • Advanced- level expertise with the full MS Office Suite demonstrated ability to produce executive level documents in PowerPoint, Excel and Word
  • Must be comfortable operating in a fast-paced environment
  • Meeting planning skills and demonstrated budget tracking/analyses skills.
  • Self-starter with excellent organizational skills and ability to work independently, remain focused and execute work with minimal supervision, able to multi-task effectively.
  • Ability to keep deadlines straight and prioritize work accordingly.
  • Ability to not just handle “today”, but critical intuitive ability to anticipate future needs and act proactively
  • Must have good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity
  • Ability to navigate the organization with a high degree of professionalism.

Qualification & Experience:

  • Minimum 7+ years of experience directly supporting and working with senior level executives
